The Opportunity

Nazarian Law is seeking an experienced Family Law Clerk to join and directly support a dedicated team of family law lawyers. This is a substantive, billable role suited to a clerk with a minimum of three years of Ontario family law experience who is ready to contribute at a high level from day one.

The successful candidate will take on meaningful legal work across the full scope of an active family law practice. This is not an administrative support role. It is a front-line legal position for someone who takes genuine ownership of their files, communicates with confidence, and brings the same precision to every task regardless of its complexity.

Key Responsibilities

• Draft and prepare pleadings, motions, affidavits, financial statements, and other court documents for lawyer review and filing
• Manage court filings end-to-end, including preparation of motion records, case conference briefs, and e-filing through Ontario court systems
• Communicate directly with clients, opposing counsel, and court staff in a professional and responsive manner
• Manage financial disclosure processes, including organization, review, and summary of financial materials and identification of outstanding items
• Support lawyers in the preparation and advancement of active litigation files from initial intake through to resolution
• Track court deadlines, manage file progression, and maintain accurate calendars and chronologies for all active matters
• Draft correspondence, internal memos, and client-facing communications as directed
• Maintain organized and current electronic files within the firm’s practice management system
• Contribute to the maintenance and continuous improvement of firm precedents and templates

Qualifications

• Minimum of three years of experience as a Family Law Clerk in Ontario
• Strong working knowledge of the Family Law Rules, Ontario court forms, and e-filing procedures
• Demonstrated ability to draft legal documents with a high degree of accuracy and precision
• Direct client communication experience with a professional and empathetic manner
• Exceptional organizational skills and the ability to manage multiple active matters under competing deadlines
• Professionalism, discretion, and an unwavering commitment to confidentiality

Technology and Tools

Experience with Clio or a comparable legal practice management platform is considered a significant asset. Candidates who demonstrate comfort and fluency with legal technology will be viewed favourably. Compensation and Benefits

• Base salary of $50,000 to $70,000 CAD per year, commensurate with experience

The Opportunity

We are looking for a highly organized, reliable, and proactive Legal Administrative Assistant to join our team and take full ownership of the firm’s administrative operations. You will report directly to our Director of Operations and work closely with our lawyers and CEO on a daily basis.

This is not a passive role. You will be responsible for keeping the engine of the firm running — from managing Legal Aid Ontario (LAO) certificates and billing to onboarding clients, maintaining our practice management system, and helping us build the internal processes that will carry the firm through its next stage of growth.

Full training on LAO processes, our billing systems, and internal tools will be provided. What we need you to bring is attention to detail, a sense of ownership, and the ability to work independently without being micromanaged.

What You’ll Be Responsible For

Client & Matter Administration

• Managing our internal CRM tool with detailed, up-to-date notes on every active client and matter
• Onboarding new clients end-to-end — collecting IDs, preparing and executing retainer agreements, and processing initial payments
• Opening and organizing new matters on Clio, ensuring all client information is accurate and complete
• Handling private client billing on Clio, including invoice preparation and accounts receivable tracking
• Tracking outstanding balances and implementing payment plans

Legal Aid Ontario (LAO) Administration

• Managing LAO certificates from opening to close — tracking hours allotted, monitoring certificate validity, and flagging issues before they become problems
• Reminding lawyers of their LAO allotment letters and upcoming billing deadlines
• Submitting LAO billing accurately and on time

Communications & Client Service

• Answering incoming calls and routing them to the appropriate lawyer promptly and professionally
• Managing incoming and outgoing fax communications
• Coordinating courier documents on an as-needed basis
• Managing client expectations and handling complaints or disputes

File & Document Management

• Maintaining organized digital client files in accordance with firm standards
• Managing physical files as needed (minimal volume — firm is predominantly digital)
• Managing receipts and processing incoming mail

Operations & Process Building

• Contributing to the development and maintenance of the firm’s Standard Operating Procedures (SOPs) — we have a partial foundation and need someone to formalize, improve, and expand it
• Identifying administrative inefficiencies and proactively proposing solutions to the Director of Operations

What We’re Looking For

We are open to candidates from a range of administrative backgrounds. You do not need prior LAO or legal billing experience — we will train the right person. What we cannot train is reliability, precision, and initiative.

You’re the right fit if you:

• Have 1–3 years of administrative or office coordination experience, ideally in a legal, professional services, medical, or financial environment
• Are incredibly organized and detail-oriented — you track everything, miss nothing, and follow through without being reminded
• Communicate clearly and professionally in writing and on the phone
• Are comfortable learning new software quickly and adapting to evolving processes
• Take ownership of your work — you notice what needs to be done and do it without being asked
• Can manage multiple competing priorities in a fast-paced environment without losing accuracy
• Are proficient in Google Suite

Nice to Have

• Prior experience in a family law or litigation firm
• Familiarity with Legal Aid Ontario (LAO) billing, certificates, or the LAO online portal
• Experience with Clio or similar legal practice management software
• Experience building or maintaining SOPs or internal process documentation

This is a substantive role suited to a lawyer with a minimum of one year of family law experience, including articling. Key Responsibilities

• Represent clients in court proceedings, case conferences, motions, mediations, and settlement negotiations
• Provide strategic legal advice on matters including divorce, parenting arrangements, child support, spousal support, and property division
• Draft and review pleadings, affidavits, financial statements, domestic contracts, and client correspondence
• Develop and execute case strategies aligned with client objectives and realistic outcomes
• Independently manage and advance a personal client portfolio
• Conduct legal research and maintain current knowledge of Ontario family law developments
• Contribute positively to a team culture grounded in professionalism, collaboration, and client service

Qualifications

• Licensed to practice law in Ontario and in good standing with the Law Society of Ontario
• Minimum of one year of family law experience, with articling experience considered for exceptional candidates
• Strong written and oral advocacy skills with a high degree of attention to detail
• Demonstrated ability to manage multiple matters with professionalism and composure
• Excellent interpersonal skills and a professional, empathetic manner with clients
• Comfort with legal research tools and practice management software

Mentorship and Professional Development
